Article 11: Notifications & Reminders
What Ploy notifies on
Access review notifications keep reviewers on track and admins informed without requiring anyone to manually chase progress. Ploy sends notifications across several events:
Notification | Who receives it | When it fires |
|---|---|---|
Review assigned | Reviewer | When a cycle is generated and they have accounts to review |
Account set submitted | Admin | When a reviewer submits their account set |
Revision requested | Reviewer | When an admin sends their set back for revision |
Review ready for approval | Admin | When all account sets in a review are submitted and ready |
Review completed | Configured channel/person | When a review is fully approved |
Campaign completed | Configured channel/person | When all reviews in a cycle are complete |
Not started reminder | Reviewer | If a review hasn't been started after a configurable number of days |
Incomplete reminder | Reviewer | If a review was started but not submitted after a configurable number of days |
Channels: Slack and email
Ploy sends notifications via both Slack and email. The combination used depends on how your notification settings are configured.
Slack — notifications go to a specific Slack channel (for campaign-level events) or directly to the reviewer's Slack (for reviewer-specific events)
Email — notification emails go to the reviewer's registered email address
Both channels can be active simultaneously — for example, you might want campaign completion to post to a shared Slack channel and email the IT lead.
Configuring notifications
Notification settings are configured at the campaign level, in the Notifications section of the campaign settings. You can:
Choose which Slack channel receives campaign-level notifications (review ready, campaign complete, etc.)
Enable or disable individual notification types — you don't have to turn everything on
Set the not started reminder threshold: the number of days after assignment before a reminder fires to a reviewer who hasn't begun
Set the incomplete reminder threshold: the number of days after starting before a reminder fires to a reviewer who hasn't submitted
If no notification settings are configured, no automatic notifications are sent (other than the initial assignment notification).
Notification batching
In high-volume reviews where many accounts or sets are processed in a short window, Ploy batches notifications of the same type together and sends them as a single digest rather than firing one notification per event.
The batch window is approximately two minutes — so if ten sets are submitted within two minutes, admins receive one "sets ready for review" notification, not ten.
This keeps Slack channels and inboxes from being flooded during busy review cycles.
Overdue and incomplete alerts
The not started and incomplete reminders are particularly useful for compliance-sensitive campaigns where you need to ensure all reviewers complete on time.
Not started: fires if a reviewer hasn't opened their assigned review within N days of assignment. The reminder goes to the reviewer, prompting them to begin.
Incomplete: fires if a reviewer started (opened at least one account) but hasn't submitted within N days of starting. Useful for catching reviewers who began but got pulled away.
Admins can also manually send reminders to specific reviewers directly from the cycle detail view in the dashboard — this sends an immediate notification regardless of the scheduled thresholds.
