Create and manage custom employee fields

Create custom employee fields from Settings → Employee fields, choose a field type, assign a source system, map each field to an attribute in that integration, and archive fields you no longer need.

Employee fields is available under Settings when you have write access for team members. Custom Field and Member permissions are listed in Understanding Ploy Permissions and Roles.

Open Employee fields

Custom fields are managed on the Employee fields settings page.

  1. Go to Settings.

  2. Under Workspace, open Employee fields.

The page lists standard employee fields in groups such as Role & org, Dates, Location, and Contact, plus a Custom fields section for fields your organization defines.

Create a custom field

Add a custom field with a label and type from the Custom fields section.

  1. Select + New custom field.

  2. Enter a Field label. Active labels must be unique in your organization (case-insensitive).

  3. Choose a Type from the options below.

  4. If the type is Select, enter the options as a comma-separated list. At least one option is required. Separate each option with a comma; extra spaces are trimmed.

  5. Select Add field.

Ploy creates the field under Custom fields. The default type is Text.

If an active custom field already uses the same label, creation fails with a message that a custom field with that name already exists.

Assign a field source

Choose which connected system owns each field. This step selects the integration only—not which attribute inside that system fills the field.

  1. On the Employee fields page, expand the field row.

  2. Under Source, choose a connected integration, or choose No source to clear the assignment.

  3. Select Save.

Existing values stay until the next scan updates them. Whether an employee is marked active or inactive is controlled by the Member source of truth toggle in each integration’s settings, separately from these field sources.

After you assign a source, map the matching attribute in that integration so values can sync.

Map the field in the integration

In the source integration’s configuration, pick which attribute corresponds to your custom field so Ploy can fill it on scan.

  1. Open the connected integration and select Configure (or Setup if you are connecting it for the first time).

  2. Open the field mappings step in the configuration.

  3. Find your custom field by its label in the list of Ploy fields.

  4. Under Source field, choose the attribute from that system that should fill the field. If the integration shows a free-text source field instead of a picker, enter the attribute name there.

  5. Save the integration configuration.

Both steps are required for sync: a Source on Employee fields chooses the owning system, and the integration’s Source field mapping chooses the remote attribute. Until that attribute is set, Employee fields can show the field as not mapped yet, and scans skip the field.

Archive a custom field

Archiving removes a custom field from employee profiles and the create form while preserving existing values.

  1. On the custom field row, open the archive action.

  2. Confirm with Archive.

Archived fields no longer appear on employee profiles or in the Custom fields create form. Existing values are preserved. Archived fields leave the active list on Employee fields, so they are no longer available when assigning sources. Only custom fields can be archived from this page; standard fields cannot.
