Set up notifications
Ploy delivers notifications by email, Slack, and Microsoft Teams. Connect the delivery channels first, then decide which notifications send and where each one goes in three places: Settings > Notifications, Access > Managed Access > Notifications, and each access review campaign's notification settings.
Connecting an identity provider or a Microsoft or Google integration doesn't automatically enable notifications. The Email and Teams channels are separate integrations you set up explicitly.
Connect a delivery channel
All delivery channels are managed under Integrations in the Ploy dashboard. Connect at least one channel before enabling notifications, otherwise nothing has anywhere to go.
In the Ploy dashboard, go to Integrations and select the Channels tab.
Open Email and connect it, choosing who sends your notifications: Ploy's own address, or an address on your own verified domain. Full steps: Set up email notifications.
Open MS Teams under the Communications section, connect your Microsoft tenant, then upload the Ploy app to your organization's Teams app catalog. Full steps: Set up Microsoft Teams notifications.
If your team uses Slack, connect Slack from the same area. See Enable Luna Slack messaging.
What each channel delivers
Channels carry the same kinds of messages, with small differences. Email recipients are resolved from registered Ploy members, reviewers, assignees, and admins. In Teams, messages arrive as conversations with the Ploy bot, so employees can respond without leaving Teams.
Message type | Teams | |
|---|---|---|
Surveys (access review questionnaires) | Yes | Yes |
Alerts (security and access alerts) | No | Yes |
Approval requests | Yes | Yes |
Reminders for pending actions | Yes | Yes |
Task lists | Yes | Yes |
Links to campaigns, requests, and workflows | Yes | Yes |

How notifications are organised
Every notification Ploy can send lives in Settings > Notifications, grouped into these types:
Requests and provisioning: access request reviews and their reminders, manual provisioning and deprovisioning tasks, batch approvals, and success confirmations for the employee or an admin channel.
Access expiring or being suspended: extension requests, expiration warnings, suspensions and restorations, and access-condition security alerts.
Updates for employees and managers: the welcome message, outstanding tasks, and manager notifications about a team member's access being suspended or restored.
Templates for other areas, such as access reviews, offboarding, approvals and escalations, and integration health.
Turn notifications on and route them
In Settings > Notifications, each notification is one row with its own controls.
Go to Settings > Notifications.
Use the switch on each row to enable or disable that notification.
Open Delivery settings to send it through the workspace default channel or a specific channel you've connected. Where the channel supports locations, such as a Slack channel or Teams channel, choose the location too.
Turn on Batch similar notifications to combine messages: if a recipient would get many of the same notification in a short window, for example 10 in 30 seconds, they arrive as one message instead of 10.
Use Customise to edit the notification's template.
Rows show badges when a notification has been changed: Customised, Batched, and the channel it's routed to. A few templates don't support batching, such as expiration warnings and the welcome message.
Set where access events notify
Access > Managed Access > Notifications is separate from the templates above. It controls the default destination for access notifications and per-event toggles for the access lifecycle: request submissions, provisioning and deprovisioning outcomes, manual tasks, access policy violations, access-condition alerts, and configuration problems such as a request with no valid assignees. Set Default channel type to Email, Slack, or Teams; each event can use the default channel or its own.
Access review notifications
Review notifications are configured per campaign, in the Notifications section of the campaign settings. They cover the review lifecycle: assignment, submitted account sets, revision requests, reviews ready for approval, completion, and reminders for reviews that haven't been started or submitted. You can enable or disable individual notifications, choose which Slack channel receives campaign-level events, and set the number of days before the not-started and incomplete reminders fire. Review notifications go out by Slack and email, and can use both at once. If no notification settings are configured for a campaign, only the initial assignment notification is sent.
Full definitions of each review notification: Notification Settings and Notifications & Reminders.
Daily reminders
Alongside event notifications, Ploy can send employees a daily reminder at around 9am, but only when they have overdue tasks, access expiring soon, or incomplete access reviews. See Daily reminders.
Test your setup
Once your Email channel is configured, use Send test email in the channel settings to confirm delivery. The test goes to your own registered organization email address. See Set up email notifications.
