Access review notifications and reminders
Access review notifications keep reviewers moving and admins informed: reviewers are notified when they're assigned and when a revision is requested, admins are notified when sets are submitted and ready for approval, and overdue reviews can be chased with overdue notifications, escalation tiers, and manual reminders. This article covers what gets sent, where each setting lives, and how to send reminders yourself.
What gets notified
These are the notifications a running access review generates, who receives them, and when they fire:
Notification | Sent to | When it fires |
|---|---|---|
Access review assigned | Reviewer | When a cycle starts and they have accounts to review |
Revision requested | Reviewer | When an admin sends their account set back for revision |
Review submitted | Admins | When a reviewer submits their account set |
Access review ready for approval | Admins | When a reviewer has completed their review and it is ready for approval |
Access review completed / Campaign completed | The configured channel or member | When a review completes, or when every review in a campaign completes |
Access review reminder | Reviewer | When you send reminders manually or an escalation tier reminds them |
Access review query raised | Admins | When a reviewer raises a question about their review. Off by default |
Access review deadline extension requested | Admins | When a reviewer asks for more time. Off by default |
Access review due soon / Access review overdue | Reviewer or chosen people | When an escalation tier fires before or after the due date |
When several notifications of the same type fire within about two minutes, Ploy batches them into a single digest, so a busy review cycle doesn't flood a channel or inbox.
Choose who receives campaign notifications
Campaign notification delivery is configured in Access Reviews > Settings > Notifications, under Campaign Notification Settings. Here you pick where access review notifications go:
A channel: choose the channel integration and the specific channel. Only channels already connected to your organization are offered.
A single member: one person who receives the notifications instead of a channel.
You must choose a channel or a member, not both: selecting one hides the other, and Save stays disabled until a channel type and a channel or member are selected.
The Notification Events switches on the same page control team-facing access review messages, such as campaign started, review started, ready for approval, and completed. For connecting the channels themselves, see Set up notifications.
In the campaign wizard's Review process section, Enable notifications (on by default) controls whether starting a cycle automatically sends the assignment notification to reviewers. Turning it off does not block manual reminders.
Turn individual notifications on or off
Each access review notification can be enabled, disabled, and worded in Settings > Notifications > Access Reviews. The available types include Access review assigned, Access review attestation requested, Access review reminder, Access review due soon, Access review escalation, Access review campaign started, Access review started, Access review ready for approval, Access review completed, Campaign completed, Revision requested, Review submitted, Cycle assignment issues, Access review query raised, and Access review deadline extension requested.
Access review query raised alerts the IAM team when a reviewer raises a question, and Access review deadline extension requested alerts you when a reviewer asks for more time. Both are off by default and are saved with the other access review notification settings. For the full notification setup walkthrough, see Notification Settings.
A notification that appears both as an event switch in Access Reviews settings and as an entry in Settings > Notifications only sends when both switches are enabled.
Reviewer questions and extension requests
Reviewers can raise a query or ask for more time from their review. When they do, the two admin notifications above let your team respond without watching the dashboard: a query flags a question for the IAM team, and an extension request tells you a reviewer needs more time before the due date. See Complete a review: reviewer guide for the reviewer's side of raising queries and requesting time.
Send reminders manually
Use Send Reminders to nudge reviewers with outstanding work immediately, instead of waiting for scheduled reminders or escalation tiers. It lives on a running cycle's detail page in Access Reviews:
Open the running cycle's detail page from Access Reviews.
On the cycle's Access Reviews tab, click Send Reminders in the cycle action row, alongside Add Resources and End Cycle.
Ploy reports how many reminders it actually sent. If nothing was outstanding, or a recipient could not be reached on the configured channel, it shows No reminders sent. In that case review rows and overview cards are not marked complete, so the record reflects that nobody was reminded. Reminders use the campaign's configured channel, or the organization's default channel if none is set.
Overdue notifications
Under Access Reviews > Settings > Notifications, the Overdue Notifications section chases reviews that are falling behind. Both settings go to the configured campaign channel or member, not directly to the reviewer:
Access Review Overdue - Not Yet Started: notifies when a review has not been started a set number of days after it was created. Default is 7 days when enabled, configurable up to 90 days.
Access Review Incomplete - In Progress: notifies while a review is still in progress. Default is 14 days when enabled, configurable up to 90 days.
Each overdue notification includes a View button that opens the campaign cycle. When several reviews from the same campaign are overdue at once, they arrive batched as Multiple Access Reviews Overdue or Multiple Access Reviews Incomplete.
Escalation tiers
Each campaign can have escalation tiers that act on account sets automatically. Tiers run hourly, each tier runs once per account set, and they act only on account sets that are still in progress or were sent back for revision.
A tier scheduled a number of days before the due date sends the Access review due soon notification to reviewers who still have accounts to review. Before the due date, only Remind the current reviewer can run.
A tier scheduled a number of days after the due date can take one of four actions:
Remind the current reviewer: sends the Access review overdue notification to the reviewer.
Reassign the review: moves the account set to a different reviewer. Admins are notified when a reassignment could not be made automatically.
Notify people: sends the overdue notification to the chosen people.
Record no response: records that the reviewer did not respond.
When several reviews from the same campaign are combined, the overdue message is titled Access reviews overdue instead of Access review overdue.
