Manage a running access review
You manage a running access review from its cycle detail page in the admin dashboard: add resources mid-cycle, answer reviewer queries, correct or refresh data, export the results, and end the cycle early. Open a cycle from its campaign in Access Reviews to reach all of these actions.
Add resources to a running cycle
Resources can be added while the cycle is in progress. Each added resource becomes its own review, with account rows derived from the cycle's scope filters and reviewer assignment.
Open the cycle detail page from Access Reviews.
In the cycle action row, click Add Resources.
Select the resources to add and confirm.
Ploy applies the cycle's existing employee and access filters, excluded identities, and reviewer assignment to the new resources. The campaign template and future cycles are unchanged. In an attestation-only cycle, an added resource gets a resource-level attestation with no account rows.
A resource already in the cycle is rejected: "[resource name] is already part of this review cycle".
A resource with no accounts matching the scope fails: "No accounts to review for [resource name]".
Adding fails once the cycle is no longer in progress: "Resources can only be added while the review cycle is in progress".
Answer reviewer queries
Reviewers raise a query when they can't decide on an account. Account queries return the account to the reviewer for a new decision; general queries record your answer without creating one.
Open the cycle detail page. The Open queries card shows what is waiting; click Go to Queries, or open the Queries tab directly. The tab's badge counts open queries.
Find the query in the table. The columns are Account, Resource, Question, Queried, Reviewer, and Actions. General queries show General in the Account column.
Click Respond. The Respond to query dialog shows the reviewer's question; write your response and click Send response.
Answering an account query clears the reviewer's previous decision on that account and returns it to them as Requires review. The reviewer sees Response received, with their question and your response side by side, and makes the decision again. Answering a general query records your response against the query; no account decision changes.
A reviewer can't submit their account set while a query on it is open.
When a query comes in, the Access review query raised notification can alert your configured channel or member; it is off by default. The reviewer is notified when you answer. Both settings are covered in Access review notifications and reminders.
Correct or refresh review data
Each cycle is a snapshot: data changes after the cycle started don't rewrite its rows. Use Re-sync from current data on a row to refresh it from your current data; the action appears only on rows where it's available. To refresh several rows at once, select them in the accounts list and use Re-sync above the list.
To take an account out of the review entirely, select it and use Remove from Scope above the accounts list; the account's status shows Excluded. Reviewers can also correct data from their own rows, such as fixing incorrect details or adding a user Ploy is missing; see Complete a review: reviewer guide. Search within a review matches an account's identity login, external identifier, and display name, including service accounts.
End a cycle early
End Cycle marks a cycle that isn't complete as complete, without waiting for every review to be approved.
Open the cycle detail page.
In the cycle action row, click End Cycle.
The Mark Cycle as Complete confirmation warns you how many reviews are still not completed. Confirm with Yes, Complete.
Ending the cycle finalizes the remaining reviews in their current state. Accounts with no decision keep their Requires review status. End Cycle itself doesn't generate certificates; certificates are generated when reviews are approved.
The campaign completed notification fires if it is enabled. The cycle moves under Completed cycles, and Add Resources, Send Reminders, and End Cycle are no longer available. Ending can't be undone from the cycle page.
Export review data
Export a single review with Export to CSV in the review's detail sidebar. To export several reviews at once, open the campaign detail page, select the reviews in the Reviews table, and click Export Selected; it stays disabled until at least one review is selected.
