Hubstaff
Connect Hubstaff to Ploy to see every member of your Hubstaff organization, the role each one holds, and which projects each person belongs to. Ploy can also invite people, change a member's role, remove members, and add members to projects or remove them.
This integration is in beta
The Hubstaff integration is in beta. It was built from Hubstaff's documented V2 API and has not yet been run against a live Hubstaff organization, so some behaviour may differ from what is described here until it has.
The first step of setup is a consent checkbox. Ticking it lets Ploy send redacted error data to its own monitoring when a call to Hubstaff fails. Redacted means secrets, tokens and personal details are removed before anything is stored. Ploy uses it only to fix problems with the integration. You need to tick it to continue.
What Ploy reads
Every member of the connected Hubstaff organization, with their name, email address and organization role (Owner, Manager or User).
Members who have not finished joining yet, shown with their access but no start date.
The Hubstaff organization itself, so several Hubstaff organizations connected to one Ploy organisation stay separate.
Every project with members, and each member's project role (Viewer, User or Manager). Access that comes from a team is included. Archived projects are shown as archived.
When each member's Hubstaff desktop or mobile app was last active, where Hubstaff reports it.
Members removed from the organization are shown as no longer having access. Hubstaff has no suspended state, so there is nothing else to report. Hubstaff does not report two-factor status or sign-ins, so those are not shown.
What Ploy can change
Invite someone by email address. You can choose a role: Organization manager, Project manager, Project user or Project viewer. With no role, Hubstaff uses its default, Project viewer. If the person already has a Hubstaff account, Hubstaff adds them straight away; otherwise they join when they accept the email. Inviting someone who is already a member or already invited counts as done.
Change a member's organization role between Owner, Manager and User.
Remove a member. This removes them from the organization and from all of its projects and teams. Removing someone who is already gone counts as done.
Add a member to a project or remove them from it, from the project's page in Ploy. New project members get the User role. If someone has a project through a Hubstaff team, change the team in Hubstaff instead.
Before you start
You need a Hubstaff organization API token, assigned to an organization owner or manager. Ploy acts with that member's role, so they must be able to see every member and to invite, change and remove members.
Sign in to Hubstaff as an owner, a manager or a member with the Manage IT permission.
Open Settings, then Organization, then API tokens.
Create a token, assign it to an owner or manager, and choose when it expires. Never expiring is the default.
Copy the token. It starts with hsoat_.
Connect Hubstaff
In Ploy, open Integrations and choose Hubstaff.
Tick the beta consent checkbox.
Paste the organization API token and continue.
Select the Hubstaff organization to scan.
Select Test to check the connection, then finish.
Ploy scans the organization every hour. To connect another Hubstaff organization, add another connection.
Troubleshooting
Hubstaff rejected the token: the token was not copied in full, has expired, was revoked, or the member it is assigned to has left the organization. Create a new one.
The token cannot list members: assign the token to an organization owner or manager.
The organization list is empty: go back and check the token was copied in full.
